Job Description
We are seeking a dependable, observant, and detail-oriented team member to join our General Affairs (GA) team. This role requires active use of Japanese, both spoken and written. The successful candidate will be trained to coordinate with suppliers and internal departments. After training, the role involves accurate handling of data and documents and real-time reporting of issues, delays, or changes. This position suits someone calm under pressure, attentive to detail, and able to “read the air” (空気が読める) in a fast-paced, multicultural workplace. Tasks are rotated within the GA team to improve efficiency and develop broad operational skills, so flexibility and adaptability are essential.
Responsibilities
・Coordinate logistics-related communication between suppliers and internal departments
・Communicate with suppliers, partners, and internal teams in Japanese via email and messaging
・Support daily operations under General Affairs leadership
・Handle administrative tasks including documentation, scheduling, data entry, and record management
・Prepare, review, and maintain accurate logistics, purchasing, and internal records
・Conduct or assist with on-site operational checks to identify issues and maintain organization
・Report task status, supplier responses, delays, and risks accurately and in real time
Requirements
・Strong Japanese communication skills, including professional business email writing
・Excellent computer skills (Excel, email, shared drives, document management systems, basic databases)
・Strong numerical sense; highly organized and detail-oriented
・Keenly observant and able to identify small issues early
・Able to follow instructions precisely and maintain consistent quality
・Calm, accurate, and organized under pressure
・Proactive communicator who reports progress, delays, and issues without prompting
・Able to work within assigned roles and priorities and consult before acting outside scope
・Team-oriented, responsible, reliable, and able to work independently
・Comfortable with both office and on-site (warehouse/facilities) work
・Driver’s license preferred
・Experience or interest in logistics, operations, or coordination is an advantage
・Accuracy and reliability prioritized over speed
Working Conditions
・Location: Company sites within Saitama Prefecture (office and warehouse)
・Hours: Standard office hours with 30 hours of fixed overtime included
・Overtime: Additional overtime may be required depending on workload
・Schedule: Monthly schedules may be adjusted by the General Affairs Leader based on operational needs
